The Microsoft Campus Agreement Subscription is
designed to cater to the unique needs of qualifying higher education
institutions. It provides for easier management of licenses with reduced
administrative costs as well as simple budgeting and purchasing. It is also an
easy way to ensure license compliancy and be eligible for the most current
technology, as Software Assurance included in the subscription. Your total cost of
software ownership is reduced while productivity and access to current
technology are increased.
The Campus Agreement Subscription begins with
the Master Campus Agreement, and under that there can be several Enrollments.
The Master Campus Agreement
- Has no expiration date, so once it is
established, it does not need to be revisited.
- Is signed before or at the same time as
an initial order for software license coverage.
- Can have multiple Enrollments submitted
simultaneously.
The Enrollment
- Has a defined term of one or three years
with an effective start date and end date that is independent of the Master
Campus Agreement.
- Specifies the products selected for use
during the term. Products can be added at any point during the term, but
cannot be removed.
- Specifies the FTE count for the term.
Counting Faculty/Staff FTE
Campus Agreement requires an institution-wide
commitment for any application, system and Client Access License (CAL) products
selected. Only server products can be licensed on an ad hoc basis. You must
include all of the faculty and staff FTEs, including student employees, using
the calculation below. These FTE counts are the same numbers institutions report
to the federal government on IPEDS Form S.

At the end of the term, you have one of the
following options:
- Submit a new Enrollment.
- Extend the term of the licenses by
purchasing perpetual licenses for the specific quantities of the products
you wish to continue using.
- Remove the software.
- Any combination of these three.
